No. The Student Portal is designed to work without requiring student email accounts.

Can we bring in our existing classes?

No. The Student Portal uses student identifiers and school-managed access rather than requiring students to create personal email accounts.

Who controls school records?

School administrators have tools to manage, export and delete school records within TrackEDU.

Can our school review the legal documents?

Yes. The Privacy Policy, Data Processing Agreement and Terms of Use are available directly from this Trust Centre.

1. School adds data

Schools add the information needed to operate their TrackEDU environment, including staff, classes, houses and student records.

2. Data supports the service

School records are used to provide TrackEDU features such as points, leaderboards, student access, reporting and behaviour workflows.

3. Schools can export

Administrators can export supported school records and reporting data when needed.

4. Schools can delete

Administrative data-management tools allow schools to permanently remove school data when required.

TrackEDU separates student, teacher, school administrator and TrackEDU administrative workflows. Access is designed around the role and task being performed rather than giving every user the same level of access.

Security incidents

Schools can report suspected privacy or security incidents directly to hello@trackedu.net . TrackEDU will investigate reported incidents and communicate with affected customers where required.

Where is TrackEDU data hosted?

TrackEDU uses Google Firebase and related Google cloud services for application infrastructure and database services.

Schools requiring confirmation of the specific hosting and processing locations used by their TrackEDU environment can request this information during procurement or data-protection review.

Does TrackEDU use third-party service providers?

Yes. TrackEDU relies on specialist technology providers to deliver parts of the service.

How long does TrackEDU keep school data?

Schools can manage and delete data through TrackEDU's administrative tools.

Specific contractual retention periods, including any periods following account closure, should be confirmed in the school's Data Processing Agreement or procurement documentation.

How are access, correction or deletion requests handled?

A school normally remains the first point of contact for requests concerning its student and staff records. TrackEDU can support authorised school administrators with access, export, correction and deletion workflows where required.

Does TrackEDU use AI to make decisions about students?

TrackEDU's House Points and Behavior Tracker workflows are designed to support teachers and school leaders rather than replace professional judgement. TrackEDU does not present automated output as a substitute for safeguarding, pastoral, disciplinary or educational decisions made by authorised school staff.

What about international schools and international data transfers?

TrackEDU serves schools in different jurisdictions and uses cloud-based technology providers. Schools with specific requirements concerning international transfers, contractual safeguards or local data-residency obligations should raise these during procurement so that the relevant processing information can be reviewed.
